What Every Manager Should Know About AI’s Role in the Workplace

Artificial intelligence has emerged as the latest technology driving a shift in the way work gets done.  Managers should understand several key aspects of AI in the workplace to effectively lead teams, make strategic decisions, and ensure responsible use of technology.   Those who master AI will have the competitive advantage going forward.

AI’s Capabilities and Limits

Before AI can be successfully deployed, managers must understand its proper role.  Much has been written about how AI can transform work but not all of the predictions will come true.  To start, let’s examine AI’s key strengths and limitations as we currently understand them.

Strengths: AI can automate repetitive tasks, analyze large data sets, improve customer service (via chatbots), and support decision-making with predictive analytics.  AI is presently great at automating routine, repetitive tasks like responding to common customer inquiries or drafting emails and reports.   It can serve as a digital personal assistant to help employees schedule and maximize their time.

Limitations: AI currently lacks human judgment, emotional intelligence, and creativity in complex or ambiguous situations. It does not replace human critical thinking and strategy.  Although it can reduce the number of people required to perform certain routine tasks, AI does not replace the need for human workers or herald the end of employment.  It also requires large amounts of high-quality data and regular monitoring to provide accurate information.  Most current tools, like ChatGPT, require users to share their queries and data with the AI tool so that it can build a more robust database.  For private companies, this may pose too great a danger to their intellectual property to allow unfettered use.

AI’s Strategic Value

Artificial intelligence promises to radically alter the way business is conducted.  It offers the following strategic benefits:

Efficiency: AI can reduce costs and boost productivity by streamlining workflows and automating repetitive tasks.

Innovation: AI opens new opportunities for product development, personalization, and competitive differentiation.  Businesses will be able to customize their products down to the individual consumer.

Scalability: AI tools can handle increasing volumes of tasks or data without proportional increases in fixed costs.  Businesses will be able to expand without the massive capital investments of the past.

When planning to introduce AI technology, managers should remember that AI augments human work; it does not eliminate it.  Managers should look for easy opportunities to deploy AI, such as handling repetitive, high volume tasks.  They should assess AI tools and vendors not just for their efficient capabilities but also for reliability, security, customer support, and alignment with organizational needs.  When introducing AI, managers will need to redesign workflows to leverage AI alongside employees and ensure clear communication about how AI fits into new employee roles.

Examples of AI in the Workplace

AI is already transforming work in many industries.  Here are a few prominent examples:

Customer Service: Many companies use AI-powered chatbots to provide instant support, answer frequently asked questions, and even handle complex telephone inquiries with natural language processing.

Supply Chain Optimization: AI predicts demand, optimizes inventory, and improves logistics by analyzing real-time sales data to coordinate future orders and reduce delays and inefficiencies.

Fraud Detection: Banks and financial institutions use AI to detect fraudulent transactions, analyze spending patterns, and enhance cybersecurity.

Healthcare Innovations: AI assists in diagnosing diseases, analyzing medical imaging, and streamlining administrative and billing tasks for healthcare providers.

Managers must lead with empathy, clearly communicate the benefits, and involve employees in the transition.

Measurement of AI

While the measurement of AI is still in its infancy, organizations can use existing KPIs to track how AI affects productivity, quality, customer satisfaction, and employee engagement. Future analytics should focus on AI’s real, tangible value in terms of organizational efficiency, product and service quality and customer satisfaction.

Ethical and Legal Considerations

AI promises a brighter future, but it also poses a number of threats that managers need to be aware of and address.  Among the most important threats are:

Bias and Error: AI systems can reflect or amplify biases and errors in the data they rely on. Managers should ensure AI tools are audited and used responsibly to avoid institutionalizing existing biases and introducing misinformation into data systems.

Privacy: It is important to understand how AI tools collect and use data and who has access to it, especially regarding surveillance of employees.  Managers must consult and comply with emerging regulations of AI, such as the European Union’s General Data Protection Regulations (GDPR) or U.S. Health Insurance Portability and Accountability Act (HIPAA).   It will help gain acceptance of AI if its uses are fully transparent.  Ensure that employees and customers understand when and how AI is being used and the protections in place to safeguard personal information.

Like other technological breakthroughs of the past – the personal computer, Internet and smart phone come to mind – artificial intelligence will have a profound impact on how we live and work in the future.  Given the tremendous potential of this emerging technology, managers should carefully follow developments in their industry and look for innovative ways to deploy AI solutions in the workplace.  As Peter Drucker once pointed out, the best way to predict the future is to invent it.  Those who invent the future uses of AI will stand to reap its benefits.
